Configuring Order Transfer

Before you can import ShopSite orders into QuickBooks, Order Transfer must first be granted access to your company file. Additionally, if you want Order Transfer to automatically download orders from your store, you must set up a connection to ShopSite that will allow Order Transfer to access your orders database.

After you complete these initial configuration tasks, you should go to Edit > Preferences in Order Transfer and examine other settings and options that are available for customizing the order importing process to suit your needs.

Granting access to your company file

  1. Run QuickBooks and open the company file that you will be using with Order Transfer. Important: The company file must be opened in single-user mode and you must be logged in to QuickBooks as Administrator.
  2. Run Order Transfer with your company file still open in QuickBooks. QuickBooks will display an application certificate with options for granting read and modify access to your company file.
  3. Select the radio button for Yes, always; allow access even if QuickBooks is not running. You may select one of the other  Yes  options if you prefer to always have QuickBooks open when running Order Transfer.
  4. Check the box to Allow this application to access personal data such as Social Security Numbers and customer credit card information., unless you do not want to import credit card information into QuickBooks.
  5. Click  Continue... 
  6. Click  Done  to confirm the access permissions you want for Order Transfer. After granting Order Transfer access to your company file, Order Transfer will open. You have completed configuring QuickBooks to work with Order Transfer.

Setting up a ShopSite connection

The type of connection you should set up depends on the authentication method used when you log in to your ShopSite store. If the web server's standard user name and password mechanism is used, then Basic Authentication can be used for the connection.* If any other authentication method is used, including ShopSite Login, then OAuth is required. See Order Transfer System Requirements, Web Server.

* If your ShopSite version is 11.0 or later, OAuth can also be used.

How to configure a connection for Basic Authentication

  1. Start Order Transfer 3.0
  2. In the "Import Orders from" section on the main Order Transfer screen, click the "Add" link to the right of the dropdown menu for ShopSite connections. (Note: You can manage ShopSite connections from other Order Transfer screens as well.)
  3. Click the "Web Server Login" link.
  4. Enter the URL you use for the ShopSite Backoffice. If you need help with this, click the "see example" link which will show you where you can copy and paste this URL from Preferences > Hosting Service in the Backoffice. If the screen shown in the example is not available to you, then contact your hosting provider.
  5. Enter the user name and password you use to log in to ShopSite. You can leave the password blank if you prefer to have Order Transfer prompt you for the password each time it connects to ShopSite.
  6. Enter a name for connection, and then click Test to see that it works.
  7. Click "Save" to save the connection configuration.

How to configure a connection for OAuth

  1. Start Order Transfer 3.0
  2. In the "Import Orders from" section on the main Order Transfer screen, click the "Add" link to the right of the dropdown menu for ShopSite connections. (Note: You can manage ShopSite connections from other Order Transfer screens as well.)
  3. Click the "ShopSite Login" link.
  4. Go into the ShopSite Backoffice and navigate to Utilities > Add Application. Click the Add button.
  5. Enter a name for the application. "Order Transfer" is recommended.
  6. Check "Orders" to grant access to the ShopSite orders database. If you want to import credit card information into QuickBooks, check the box to include it in the download. Click "Example 1" to see an example screen shot.  Caution: DO NOT check the box to include CVV2. Order Transfer does not import this information, and once it is downloaded, it will be purged and you will no longer have access to it.
  7. Click "Generate Key". ShopSite will generate the necessary configuration information and display it on the screen.
  8. Copy the displayed fields into the appropriate Order Transfer fields. Click "Example 2" to see an example screen shot.
  9. Enter a name for connection, and then click Test to see that it works.
  10. Click "Save" to save the connection configuration.
