Screen: ShopSite > Orders

Orders

After receiving an e-mail notification that someone has placed an order in your store, you can come to the Orders screen in ShopSite to view order information. The Order screen lists all orders in your store, and new orders are preceded by an asterisk (*). The list of orders shows the order number and the customer name.

Note:

Order information is not sent by e-mail because e-mail is not secure. Viewing or downloading your orders from your browser is secure if your store is configured to use secure sockets layer (SSL) protocol (e.g., https://). If you see a warning at the top of the Orders screen, your store is not configured to use SSL. Contact your host administrator to enable SSL for your store.

Note:

You will not see these buttons unless you have orders.

View Orders
Select the order or orders in the list that you would like to view and click View Orders. You can view one, several, or all of your orders this way. You can also print your orders using your browser’s Print function.
This button will only appear if you are using automatic credit card authorization via VirtualPAY, ECX, VeriSign, or AuthorizeNet. In a nutshell, orders are authorized in real time. If the card is bad, the customer will be notified of that and invited to enter another card. Therefore, if the order appears in the orders section of ShopSite, you know that the payment has already been authorized. However, the card will not be billed until you select the order from the list on the Orders screen and click Bill Orders. After you have billed the order, delete the order by clicking Delete Orders (see below). If you do not wish to complete the transaction, you may delete the order without billing it.
Delete Orders
Just as you can view one, several, or all your orders at once, you can delete them from your store after you have finished processing them. Be careful you don't delete your orders before you have collected payment information.

Periodically, it is a good idea to record your orders and delete them. A good way to keep the information on file is to View all your orders by selecting them all from the list and clicking View Orders, then save the page as a text file in your Web browser. That should be a feature under the File menu in your browser.

Click this button to download all of your orders to your local computer. You can download order information as a text file or in QuickBooks for Windows format.

See Download Orders File Format for details on the format of the text file, or Download Orders QuickBooks Format for details on the format of the QuickBooks file.

Note:

ShopSite includes all orders in each dowload. If you download orders once, and then download orders again without first deleting the orders that you already downloaded, those orders will be included in both downloads.
